Aptia Case Study - Custom Software Solution for IP Task Tracking
Our client's Evergreen Information Protection (IP) process, managed through Microsoft
Outlook Tasks, was underperforming due to poor compliance. The existing process
required that all groups comprising a business unit be actively involved in maintaining
Evergreen IP and relied on IP Coordinators to assign specific IP tasks to the individuals
within each group.
The client found that task execution, completion and final reporting could not be
guaranteed using MS Outlook Tasks alone as the IP task management tool. For example,
a recipient could move onto another position without completing a task or assume
that the task did not pertain to them and simply delete it. Tracking and reporting
on task status and completion was difficult and inefficient.
Aptia’s Custom Software Solution: : IP Task Tracker
We designed an easy to use Web-based application to centralize all tasks, employee
information and reporting functions on a secure IP Task Tracker website. The IP
Coordinator now relies on the IP Task Tracker web application to automatically assign
tasks to individuals on a recurring basis.
Tasks can only be viewed on the IP Task Tracker website which eliminates unauthorized
or accidental deletions. When a task becomes overdue, the IP Task Tracker sends
out daily reminders to the responsible individual, his manager and the IP Coordinator.
The application automatically notifies the IP Coordinator if someone leaves a position.
The custom software solution meets the client’s needs and adds value to its Evergreen
IP process. The program was designed so that it can be easily rolled out to additional
business units and be operational in 24 hours or less.
